Role Overview
The Personal Assistant will provide comprehensive administrative and operational support to the CEO & Founder. This role demands exceptional organizational skills, the ability to manage complex schedules across different organizations, and a proactive approach to task management and communication.
Key Responsibilities
Executive Support & Calendar Management
- Manage and optimize a complex, multi-organizational calendar using Outlook Calendar.
- Schedule meetings, resolve conflicts, and ensure the executive's time is allocated efficiently.
- Prepare daily summary reports, including a Morning Plan detailing today's schedule, pending tasks, and follow-ups, and an Evening Review summarizing completed items and previewing the next day.
Email & Communication Management
- Monitor, organize, and manage business emails via Outlook, ensuring timely responses to critical communications.
- Draft, review, and send emails on behalf of the executive, maintaining a professional and appropriate tone.
- Manage personal emails via Gmail when explicitly requested.
Task Assignment & Tracking
- Assign tasks to team members, capturing clear descriptions, assignees, due dates, and priorities.
- Track task progress and follow up on pending or overdue items proactively.
- Maintain an organized task database to ensure nothing falls through the cracks.
Requirements & Qualifications
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar administrative role supporting C-level executives.
- Exceptional proficiency in Microsoft Outlook (Email and Calendar) and Google Workspace (Drive, Contacts, Gmail).
- Strong organizational and time-management skills, with the ability to handle multiple tasks and prioritize effectively across different business contexts.
- Excellent written and verbal communication skills in both English and Arabic.
- Experience in task tracking and follow-up, ensuring team accountability.
- Ability to conduct research and draft professional articles or summaries.
- High level of discretion and confidentiality when handling sensitive business and personal information.
- Familiarity with the IT, Software Development, or Systems Integration industries is a strong plus.
- Proactive problem-solver who anticipates the executive's needs and acts independently.
