We are seeking a highly organized and proactive Project Specialist to support our delivery teams. As a Project Specialist at LavaLoon, you will help coordinate and drive project execution across various services—including custom development, ERPNext integrations, hosting, and maintenance. You will act as a bridge between technical teams, clients, and internal stakeholders to ensure successful delivery of our products and services.

Key Responsibilities

1. Work closely with project managers and technical leads to develop and maintain detailed project plans, timelines, and deliverables.
2. Track project progress, identify risks, and proactively suggest mitigation strategies.
3. Coordinate cross-functional teams (development, QA, operations, client) to ensure alignment and timely delivery.
4. Prepare and maintain project documentation: status reports, meeting minutes, action item logs, and deliverables.
5. Organize project meetings, set agendas, take notes, and follow up on action items.
6. Monitor project budgets and resource allocation, and support financial tracking and reporting.
7. Facilitate communication with external stakeholders (clients, vendors, partners) and ensure their needs are addressed.
8. Assist in preparing proposals, reports, and updates for clients and internal leadership.
9. Help maintain and improve internal project management tools, workflows, and best practices.

Qualifications & Skills

Required:

1. Bachelor’s degree in business administration, computer science, engineering, or a related field.
2. 1-2 years of experience in project coordination, project support, or a similar role.
3. Strong organizational skills and attention to detail.
4. Excellent written and verbal communication skills.
5. Proficiency with project management tools.
6. Ability to handle multiple tasks, prioritize, and manage time effectively.
7. Analytical mindset—able to identify issues, propose solutions, and drive improvement.
