Job Summary:

We are seeking a highly organized, proactive, and compassionate HR & Office Manager to oversee our human resources functions and ensure the smooth and efficient operation of our office. The ideal candidate will be a true generalist, capable of managing a wide range of HR duties from recruitment to employee relations, while also taking ownership of office administration, facilities, and general workplace well-being. This role is critical to maintaining a positive company culture and a productive work environment.


Key Responsibilities:

Human Resources (HR):

  1. Recruitment & Onboarding: Manage the full recruitment lifecycle, including job posting, resume screening, interview scheduling, and offer letter generation.
  2. Conduct new employee onboarding, ensuring a seamless and welcoming experience.
  3. Maintain and update employee records and HR databases (e.g., personnel files, leave records).
  4. Employee Relations: Serve as the first point of contact for employee inquiries and concerns, providing guidance and support.1
  5. Assist in resolving workplace issues, grievances, and disciplinary matters in accordance with company policy and labor laws.
  6. Foster a positive and inclusive work environment, promoting strong employee morale and retention.
  7. HR Policies & Procedures: Develop, implement, and communicate HR policies and procedures in line with company objectives and local labor laws (e.g., Egyptian labor law).
  8. Ensure compliance with all relevant employment legislation and regulations.
  9. Performance Management: Support managers in performance review processes and goal setting.
  10. Assist in identifying training and development needs for employees.
  11. Compensation & Benefits (basic):Assist with payroll preparation by providing relevant employee data (e.g., new hires, terminations, leave).
  12. Administer employee benefits programs (if applicable, e.g., medical insurance, social insurance).
  13. HR Administration:Prepare HR-related documents, reports, and correspondence.
  14. Manage employee leave requests and attendance records.
  15. Conduct exit interviews and manage offboarding processes.

Office Management:

  1. Office Operations: Oversee daily office operations, ensuring a clean, organized, and functional work environment.
  2. Manage office supplies inventory, procurement, and vendor relationships.
  3. Coordinate mail, deliveries, and courier services.
  4. Facilities Management: Liaise with building management and external service providers (e.g., cleaners, maintenance) for office repairs and upkeep.
  5. Ensure office equipment (printers, internet, etc.) is functioning correctly and arrange for maintenance as needed.
  6. Manage office security and access control.
  7. Administrative Support: Provide administrative support to the leadership team as required.
  8. Organize and schedule meetings, appointments, and travel arrangements.
  9. Maintain accurate records and filing systems.
  10. Budget Management (basic): Assist in managing office budget and tracking expenses.
  11. Process invoices and expense reports related to office operations.

Qualifications:

  1. Bachelor's degree in human resources, Business Administration, or a related field.
  2. 3 years of proven experience as an HR & Office Manager or similar dual role.
  3. Strong knowledge of HR best practices and Egyptian labor law is essential.
  4. Excellent communication (written and verbal) and interpersonal skills.
  5. Exceptional organizational and time management abilities with a strong attention to detail.
  6. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  7. Experience with HRIS (Human Resources Information System) software is a must.
  8. Ability to handle confidential information with discretion and professionalism.
  9. Proactive, problem-solving attitude with the ability to multitask and prioritize effectively.
  10. Fluency in Arabic and English is highly preferred.
